Adventures Assistant – Hospitality – Kwazulu Natal

I am currently searching for an Adventures Assistant Manager to be based on this 25 000ha private game reserve close to Hluhluwe in Northern KZN. This is a Live-in position, 6 weeks on, 2 weeks off

KEY OUTPUTS:
Co-ordination of the Airstrip:
1. Liaise with airline operators regarding daily flight plan
2. Liaise with private charter companies regarding indemnities and flight schedule
3. Compile flight sheet for distribution to the lodges
4. Follow up on landing fees
5. Communication with housekeeper regarding arrivals and departures, pilots accommodation, guest bathrooms
6. Liaise with the lodges regarding flights, changes, delays etc.
7. Meet and Greet at the airstrip
8. Managing the clearing of the airstrip and staff
9. Management of airwing
10. Management of pilots regarding accommodation, meals, etc.
11. Liaising with airline operators regarding fuel orders etc.

Specialist Safaris:
1. Check weekly activity report to ensure bookings are made correctly
2. Manage the specialist safaris calendar and bookings
3. Private vehicle calendar
4. Communication and liaising with guides and consultants
5. Ensure the booking process has been followed
6. Orders for specialist vehicles / uniform / VVAs
7. Incentive information for payroll
8. Ensure revenue and incentives are allocated to the correct month

Groups/Weddings:
1. Ensure the groups manual is updated and distributed
2. Keep groups department up to date and informed on any changes
3. Group rates update annually along with the Adv Manager
4. Liaise with consultants daily on queries and assist with itineraries
5. Liaise with lodges regarding requirements
6. Ensure Large Groups COS and Revenue is managed
7. Assist with site inspections

Sleep outs & Container:
1. Co-ordination of sleep outs & checks
2. Liaising with lodges
3. Ordering of Equipment
4. Monthly Stock take
5. Co-ordination with cleaners
6. Revenue and costs

Beach & Other Adventures:
7. Co-ordination of Beach trip & checks
8. Liaising with lodges
9. Ordering of Equipment
10. Set up of beach adventures
11. Hosting guests on the beach
12. Co-ordination with cleaner, and vehicle packer
13. Revenue and costs
14. Booking entertainment
15. Liaising with third party suppliers

Road Transfers in Adventures Department:
16. Vehicle co-ordination
17. Liaising with lodges & consultants
18. Ordering of Equipment
19. Vehicle management
20. Liaising with third party suppliers
21. Compile Road Programme for distribution to the lodges
22. Revenue and costs
23. Recording vehicle and adventure stats.

Other:
1. Cover of any daily requirements if Adv. Mgr. is out of the office
2. Month end requirements
3. Review Management Accounts and General Ledger when Adv Manager is on leave
4. All HR related issues requirements relating to cleaner and Airwing
5. Attend finance meeting
6. Boats
