Complement Recruitment are recruiting for a Facilities Operations Coordinator based in eThekwini, Durban, Kwazulu Natal. The coordinator is responsible for ensuring smooth daily operations through effective administrative, facilities, and security management, contractor services with strong follow-through and proactive resolution of delays.
There are various duties across all departments, someone who is competent, articulate and has an aptitude for technical and admin tasks will be best suited for this role.

Minimum Requirements Qualifications And Skills
• Minimum Grade 12 Certificate.
• BCom Degree in Supply Chain, Operations, Logistics, Administration or Human Resources
• Computer literacy, including proficiency in Microsoft Office applications, Excel (Advanced Level)
• Own Reliable Vehicle and Code 08 Drivers License
• 3–5 years’ relevant operations, contract or facilities generalist experience
• Procurement experience will be advantageous, as would exposure to payroll and hr assistance
• Able to work under pressure, multitask and teachable
SKILLS AND COMPETENCIES
• Valid Code EB driver’s licence and own reliable transport
• Strong planning and organising skills
• High level of attention to detail
• Effective interpersonal and communication skills
• Ability to work independently
• Proficiency in Microsoft Office and administrative systems

• Willingness to work irregular hours and remain available on call, where operationally required
KEY RESPONSIBILITIES
Operations And General Administration
• Provide general office administration support
• Oversee company vehicle and transport arrangements
• Oversee employee travel arrangements, including local and international travel
• Manage visa, travel insurance and passport-related administrative requirements
• Manage employee uniform control and related records
• Manage company mobile phone administration, stationery
• Prepare contract documentation and supporting records
• Liaise professionally with external stakeholders and service providers
• Support TQM, IMS and safety-related initiatives as required
• Track, monitor and expedite assigned administrative activities to ensure timely completion
Facilities, Guest House And Maintenance Management
• Manage expatriate guest house and visitor accommodation arrangements
• Ensure the proper upkeep, cleanliness and readiness of facilities
• Coordinate maintenance and repair requirements at the guest house
• Liaise with contractors and monitor completion of agreed work
Security And Risk Management
• Manage access control processes and security systems
• Respond to and coordinate the management of security incidents and risks
• Remain available after hours to support emergency requirements, where necessary
• Coordinate labour disruption reporting and related administrative requirements
Service Provider And Contract Management
• Manage service provider service level agreements
• Monitor service delivery to ensure cost-effectiveness and agreed standards
• Conduct service provider performance reviews as required
• Oversee canteen, cleaning, horticulture and transport-related service providers
Administrative Support, Store Room And Records Management
• Maintain the store room in accordance with 5S principles
• Maintain accurate inventory records
• Maintain contractor files, documentation and appropriate filing systems
• Coordinate VIP visits, internal functions and related administrative arrangements
Compliance, Reporting And Audits
• Prepare and submit monthly MIS reports
• Conduct guest house audits and follow up on corrective actions
• Prepare and submit inventory reports
• Conduct IMS/FMS audits and maintain supporting records
Labour Disruptions, Incidents And Investigations
• Maintain accurate headcount registers during labour disruptions
• Prepare incident reports and supporting documentation
• Assist with investigations and related administrative follow-up
Community, Stakeholder And Csr Coordination
• Liaise with community representatives and stakeholders in a professional and appropriate manner
• Coordinate stakeholder-related activities, including CSR (Corporate Social Responsibility) initiatives and company events
Manage Labour Contracts:
• Ensure monthly meeting take place and minutes are shared within a day.
• Review salary, wages reports and costings report
